Who we are
UfitMotion is a workforce application operated by UfitOnline for schools and sports programs. It is used by coaches, supervisors, school staff and parents to record attendance, verify time spent on site, and submit end-of-day reports. This policy covers both the UfitMotion mobile app and the UfitMotion web platform.
Accounts are created by administrators at the organization that engaged UfitOnline. There is no public sign-up. If you use UfitMotion as part of your work or because your child is enrolled in a program, that organization decides what records are kept and for how long; UfitOnline processes the data on its behalf.
What we collect
- Account information — your name, email address, role and the school or program you are assigned to. Provided by your administrator, not collected from you directly.
- Location data — GPS readings (latitude, longitude, accuracy and timestamp) recorded while you have GPS logging switched on for an active session, and single readings taken when you log attendance.
- Work records you enter — attendance for the students in your session, skill and readiness assessments, incident reports, and end-of-day report answers and notes.
- Device and app information — the app version and basic device details needed to sync data and diagnose sync failures.
We do not collect payment details, contacts, photos, microphone or camera data, health data from Apple Health or Google Fit, or advertising identifiers.
How location data is used
Coaches are accountable for time spent on site at schools. The app records GPS readings so that the time and place of attendance can be verified by a supervisor. That is the only purpose. Location is never used for advertising, never sold, and never shared with anyone outside the organization you work for.
- Logging is something you turn on. The app does not record your position in the background until you start GPS logging for a session, and one tap stops it.
- While it runs it is visible. On Android a permanent notification is shown for as long as logging is active. On iOS the system background-location indicator is displayed.
- Readings are periodic, not continuous. A fix is requested about every 30 seconds at balanced accuracy — enough to show presence at a site, and deliberately not a second-by-second trail.
- Background access is optional but limited.“Always allow” is requested so logging survives the phone being pocketed or locked during a session, which is exactly when the record matters. You can withdraw it at any time in your device settings; the rest of the app continues to work.
Students and children
Coaches record attendance and skill assessments for the students in their sessions. These records belong to the school or program, which is responsible for the consents that permit them. UfitMotion does not give students accounts, does not collect information directly from children, and is not directed at children as users. Parent accounts can view records only for their own children.
Where your data is stored
- On our servers — records are stored in our Supabase (PostgreSQL) database. All traffic between the app and the server uses HTTPS.
- On your device — the app is offline-first. Your assignments, students, resources and any work completed without a signal are held in a local database on the device so the app keeps working with no connection, then synced when one is available.
- Sign-in credentials— if you enable biometric sign-in, your credentials are stored in the operating system’s secure store (iOS Keychain, Android Keystore), not in the app’s own files. Uninstalling the app removes all local data.
Who we share it with
Your records are visible to authorized staff at your organization — typically your supervisor, program managers and administrators — according to their role. Beyond that we share data only with the infrastructure providers that run the service on our behalf (Supabase for the database and authentication, Vercel for hosting), and only where the law requires it. We do not sell personal information, and we do not use it for advertising.
UfitMotion contains no advertising SDKs and no third-party analytics or tracking SDKs. Nothing in the app tracks you across other companies’ apps or websites.
How long we keep it
Attendance records, GPS logs and reports are retained for as long as the organization that engaged UfitOnline needs them for verification, payroll and reporting, and for as long as the law requires. When an organization ends its use of UfitMotion, its data is deleted or returned according to that agreement.
Your choices and rights
- Location permission can be granted, reduced or revoked at any time in your device settings.
- Biometric sign-inis optional and can be turned off in Profile → Security, which clears the stored credentials.
- Access, correction or deletion. Because accounts are issued by your organization, start with your administrator. You can also write to us at support@ufitonline.net and we will act on the request or pass it to the organization responsible for the records.
- Account deletion. The app has no sign-up screen and cannot create accounts, so deletion is handled by your administrator or by emailing the address above.
Security
All network traffic uses HTTPS. Passwords are never stored in plain text. Access to records is restricted by role, both in the app and at the database. No system is perfect, so if you believe an account or a record has been compromised, contact us immediately.
Changes to this policy
If this policy changes materially we will update the date at the top of this page and, where the change affects how the app behaves, note it in the app’s release notes.
